Avize LLC d/b/a DocketDrafter ("DocketDrafter," "we," "us," "our") respects your privacy and is committed to protecting the information we collect about you. This Privacy Policy describes how we collect, use, and share information that relates to identifiable individuals ("Personal Data") when you use our website at docketdrafter.com (the "Website") and our legal document automation platform (the "Services").

1. Applicability

This Privacy Policy applies to Personal Data we collect through our Website and Services, and through other interactions you have with DocketDrafter (for example, when you email us or request a demo).

Customer Content. Our Services allow law firms ("Customers") to upload legal documents and generate work product. We process this data ("Customer Content") on behalf of our Customers pursuant to our customer agreements. This Privacy Policy does not govern Customer Content — our customer agreements do. DocketDrafter does not train any AI models on Customer Content.

2. Personal Data We Collect

Information You Provide Directly

  • Account Information: When you or your firm creates an account, we collect your name, email address, firm name, and account credentials.
  • Communication Information: When you contact us — for example, to request a demo, ask for support, or send us an email — we collect your name, email address, and the contents of your messages.
  • Prospect Information: We may collect publicly available professional contact information (such as attorney names and firm affiliations) from public court filing systems in order to reach out to potential customers.

Information We Collect Automatically

  • Log Data: When you use the Services, we collect your IP address, browser type, the date and time of your requests, and how you interact with the Services.
  • Usage Data: We collect information about how you use the Services, including features accessed, volume of activity, and session duration.
  • Device Information: We collect the name of your device, operating system, and browser type.
  • Session Recordings: We use session recording tools, configured to exclude text input capture, for product improvement and debugging.
  • Website Analytics: We use cookieless analytics tools to collect information about Website usage, including browser type, general location, and time of access. These tools do not collect personally identifiable information.

3. How We Use Personal Data

We use Personal Data for the following purposes:

  • Providing the Services: To create and maintain your account, authenticate your access, and deliver our platform.
  • Customer Support: To respond to your questions, troubleshoot issues, and provide technical assistance.

4. Who We Share Personal Data With

We do not sell your Personal Data. We share Personal Data with the following categories of third parties, solely to operate and provide the Services:

  • Infrastructure and Hosting: Cloud hosting and database providers that store and serve application data.
  • Authentication: Third-party authentication services that manage user login, organization management, and multi-factor authentication. No DocketDrafter application data is stored in these services.
  • AI Processing: AI model providers that process data via API to generate legal documents on behalf of our Customers. Our AI providers do not train models on data submitted through their APIs. The processing of Customer Content by these providers is governed by our customer agreements, not this Privacy Policy.
  • Document Rendering: Document conversion services that process DocketDrafter-generated output documents. Only DocketDrafter-generated output is sent to these services — no user-uploaded files.
  • Analytics and Monitoring: Session recording, event logging, and application monitoring services used for product improvement and debugging.
  • Professional Advisors: We may share Personal Data with our accountants, attorneys, or other advisors as needed.
  • Legal Requirements: We may disclose Personal Data if required by law, regulation, legal process, or government request, or to protect the rights, property, or safety of DocketDrafter, our Customers, or others.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your Personal Data may be transferred as part of that transaction. We would notify affected users in advance.

5. Security

We take the security of your data seriously. We implement industry-standard administrative, technical, and organizational safeguards designed to protect Personal Data, including encryption in transit and at rest, data segregation by organization, and support for multi-factor authentication.

In the event of a data breach affecting your Personal Data, we will notify you and any applicable regulatory authorities in accordance with applicable law.

6. Data Retention and Deletion

We retain Personal Data for as long as your account is active or as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements.

If your firm cancels its account, you may request deletion of all your data from our systems. To request deletion, contact us at tommy@docketdrafter.com. We will delete your data from our systems and direct our subprocessors to do the same. The timeline for complete deletion across all systems may vary depending on subprocessor deletion schedules, but we will honor every deletion request.

7. Cookies

We currently use only essential cookies required for authentication. We do not use tracking or advertising cookies. Our website analytics are cookieless. If we introduce additional cookies in the future, we will update this Privacy Policy accordingly.

8. Children

The Services are not directed to anyone under the age of 18. We do not knowingly collect Personal Data from minors. If you believe a minor has provided Personal Data to us, please contact us at tommy@docketdrafter.com and we will delete it.

9. Your Rights

You may contact us at any time to:

  • Access the Personal Data we hold about you.
  • Correct inaccurate Personal Data.
  • Request deletion of your Personal Data, subject to any legal obligations requiring us to retain it.
